Switching, seats, and legacy plans

Upgrading or downgrading mid-cycle. You can change plans any time from the billing portal. Prorated credit or charge applies to the next invoice. No contact required, no phone trees.

Adding seats over your plan cap. Every paid tier supports additional seats beyond the included count. Pricing is case-by-case based on your team shape. Email us and we will quote and add seats without moving you off your current tier.

Existing subscribers on per-user pricing. If you are on one of our legacy per-user plans, you stay on your current pricing until you choose to switch. We do not force migrations. When you are ready, we will map your org onto the closest equivalent flat-rate tier and credit any overlap.

Pricing FAQs

Is Connect really free forever?

Yes. One seat, 10 invoices a month, two projects, 10 jobs, and public-data intelligence lookups — at no cost, indefinitely. You can upgrade when your team or volume outgrows it.

What counts as an invoice in the monthly limit?

Every proforma or final invoice you generate in a calendar month counts toward your limit. AP invoices uploaded via OCR on Operate do not count against the Connect or Operate AR limit.

Can I try paid features before committing?

Yes. Every "Start trial" button routes to a guided demo with our team. We set up a sandboxed organization on the tier you are evaluating so you can work with real data safely.

What is the difference between Efficiency and Coordination?

Efficiency is built for a single team in one office with QuickBooks or Xero and a standard approval flow. Coordination adds multi-entity support, multi-stage approvals, audit logs, period locks, and a named customer success manager for operators with multiple offices or regulatory requirements.

Do I need to pay the setup fee every year?

No. Setup is a one-time fee for data import, workflow configuration, and first-week training. It is refunded in full if you churn in month one.

What happens if I go over my seat cap?

Additional seats are available on every paid tier. Pricing depends on your team shape, so we quote case by case instead of auto-metering. Email sales and we will add seats to your current tier within one business day.

Can I pay annually and save?

Yes. Annual billing saves 20% on every paid tier. Toggle monthly or annual at the top of this page to see both prices in each plan card.

What if I am already on your old per-user pricing?

You are grandfathered. Your current plan continues at your current rate for as long as you want it. When you choose to switch, we will map you to the closest flat-rate tier and credit any overlap.

How does Buoy AI chat volume work per seat?

Buoy is Base’s AI assistant, trained on the Open Gov maritime intelligence layer. On Efficiency and Coordination, chats are pooled across your organization — each seat adds capacity to the pool, so a team of five on Efficiency gets 500 chats a month to share.

Is QuickBooks or Xero available on Operate?

No, QuickBooks and Xero integrations start on Efficiency. Operate users can export invoices and payments as CSV as a stopgap and upgrade when integration becomes a priority.

Can I export my data if I leave?

Yes. Efficiency and Coordination include CSV and REST API exports for all operational data. Connect and Operate users can request a full JSON export by emailing support.

Do you offer discounts for non-profits or government?
